Travel Insurance is recommended, the Guest must acknowledge that the cost of any Mind ‘N’ Soul Retreat package does not include Travel Insurance and that the Guest has been advised to obtain separate and independent coverage at an additional cost. When obtaining travel insurance, the Guest must ensure the insurer is aware of the type of travel to be undertaken suitable for all activities with Mind ‘N’ Soul Retreat.

Travel and Health Insurance

If you opt to buy insurance, please advise your travel insurer of all such activities on each Mind ‘N’ Soul retreat to ensure the suitable insurance policy is tailored to cover you along with the following:

• activities of this retreat
• unexpected cancellations
• losses
• delay or inconvenience occurring to you during travel
• accident or injuries
• expenses that may arise because of loss, damage, accident or injury.

It is the responsibility of all Mind ‘N’ Soul Retreat Guests that you keep your possessions safe at all times. Mind ‘N’ Soul Retreat will not be liable for loss, theft of or damage to baggage or personal items. Please note, personal belongings lost or stolen, as well as any losses due to ordinary wear and tear, and other acts of God are not reimbursable.

Your Health

The Guest is responsible for their own personal medical needs/requirements, clothing and footwear for the duration of the services and activities unless otherwise agreed in writing with Mind ‘N’ Soul Retreat. Please be mindful at all times of your own body’s capability before attending the retreat.

To ensure that we can offer you the greatest experience, please advise us of any health conditions and dietary requirements that you may have.

It is advisable to consult a doctor with an understanding of Pilates/Yoga to check that you are sufficiently fit and healthy to undertake Pilates/Yoga classes and any other classes and or physical activities that you may choose to do whilst on any Mind ‘N’ Soul retreat.

It is the Guest’s responsibility to inform Mind ‘N’ Soul Retreat in writing of any past, present or potential health issues that may make them unsuitable to participate in the activities agreed. Failure to disclose any such information may result in Mind ‘N’ Soul Retreat terminating the contract and withdrawing the client from the retreat without refund, notwithstanding conditions of cancellation by Mind ‘N’ Soul Retreat. If a letter of suitability is required from a Guest’s medical professional, then this must be sent to and acknowledged by Mind ‘N’ Soul Retreat a minimum of 30 days prior to a retreat’s start date.

All Guests using our services on the retreat should fully be aware that when participating in any exercise or exercise programme, there may be a possibility of physical injury.

Even though all measures will be taken to ensure a high standard of health and safety is in place, Mind ‘N’ Soul Retreat cannot be responsible for any injuries caused during your retreat stay nor during any independent activity taken by the Guest. In making a Booking, you agree to assume such risk and that you have read and agree that you will not hold Mind ‘N’ Soul Retreat, hosts, inspirers, professional and instructors liable, you will release and discharge Us from any and all claims for any and all liability to injury, loss and/or damage arising out of your participation in Our Services.

Updating of Terms and Conditions

Mind ‘N’ Soul Retreat reserves the right to update and/or alter these terms and conditions at any time, and responsibility lies with the Guest to be familiar with them. Please see the latest terms and conditions on www.MindNSoulRetreat.com

A disclaimer will be presented to you for your acknowledgement and to fill in and sign on booking your place at the retreat.

By completing, signing and submitting a form/disclaimer along with reserving your place on the retreat with a payment deposit, the Guest, agrees to accept all the terms and conditions, and when the booking is accepted, Mind ‘N’ Soul Retreat agrees to carry out the obligations as defined therein.

Payment

• 30% deposit is required to secure your place at the retreat. Please note, deposits are non-refundable.
• Payments in instalments are agreeable and accepted.
• Remaining full balance is due 60 days prior to the first date of the retreat.
• If the balance due is not paid by the Guest when required, Mind ‘N’ Soul Retreat hold the right to cancel your booking. Your reserved place will therefore become available, and any deposit and further monies paid will be lost.
• If there are any damages, breakages and losses by the Guest to the property where the retreat is held, this must be reported to the management and to a member of Mind ‘N’ Soul Retreat leaders. Compensation must be paid to the owner by any parties involved.
• If you make a Booking within 8 weeks or less of the commencement date of the retreat, the entire Fee, the Deposit and balance, is payable at time of booking and confirming in full by you to Mind ‘N “Soul Retreat LTD.

Retreat Itinerary Changes

In the interest and safety of all guests and staff, Mind ‘N’ Soul Retreat and its partners reserves the right to alter or cancel retreat programmes and itineraries set, due to weather/road conditions or other circumstances at any moment to assure the safety of our Guests and staff.

No responsibility is accepted for losses, expenses due to delays, changes of flights or other services because of strikes, accidents, sickness, damage, negligence, weather, war, viruses, changes in schedules, other similar causes, earthquakes or other acts of God.

Mind ‘N’ Soul Retreat and its partners do not hold responsibility for accidents or deaths that can be traced to the participants’ negligence and acts of third parties or exterior circumstances such as weather, natural occurrences, or other similar causes.

Cancellation Policy

If circumstances arise and you would like to cancel your place on the retreat, the following policy stands:

• All deposits are non-refundable.
• If you have opted to pay in instalments and cancel 90 days or more prior to the retreat date, you will receive a full refund less the 30% deposit paid.
• Cancelations 89-50 days prior to the retreat, you will receive a 50% refund, less the 30% deposit. You will have the option of postponing and book a date on another retreat with Mind ‘N’ Soul Retreats: -subject to availability.
• Cancelling 49 days or less prior to the retreat, regretfully, does not entitle you to a refund nor postpone/transfer to another retreat date.
• If 40 days prior to the retreat, should you find a Guest to take your place, your reserved booking is transferable to that Guest. Please note this is not agreeable nor transferable if less than 40 days prior to the retreat date.

Should the retreat be cancelled by Mind ‘N’ Soul Retreat, a full refund will be given to our booked Guests, including your deposit.

Photos, Video and Content Creation

During participation in a Mind ‘N’ Soul Retreat, photos or video may be taken by participants, guides and professional photographers. These images may be used in any Mind ‘N’ Soul Retreat promotional materials, website, all social media platforms (i.e. Instagram, Facebook), etc., unless Guests specifically request to Mind ‘N’ Soul Retreat, to not use any material your image is depicted in. We will endeavour to put things right. Please note that we cannot be responsible for the individual behaviour of any group member or other guest.

Otherwise, you permit Mind ‘N’ Soul Retreat to perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.

Safety and Trip Enjoyment

We take your safety and well-being very seriously, which is why we partner with trained professionals for all our retreats and activities. All our Guests are responsible for their own safety, so please always be mindful during the retreat.

To avoid all possible dangerous situations, it is extremely important that you pay attention and obey any rules and regulations imposed, instructed and given by Mind ‘N’ Soul Retreat Leaders and/or Local Guides.

We have the right to hold an opinion, should we see that a Guest’s actions pose a threat to the safety of them, others, or to the wildlife, or if that a Guest’s actions or behaviours are seriously jeopardising the enjoyment of the trip for others, Mind ‘N’ Soul Retreat reserves the right to prohibit any Guest from continuing on a trip with no right of refund. The decision of the Mind ‘N’ Soul Retreat Leader or representative will at all times be final on all matters likely to affect the safety and well-being of the trip/activities. All Guests must, at all times, strictly comply with the laws, customs, foreign exchange and drug regulations of all countries visited, and Mind ‘N’ Soul Retreat will not accept responsibility or liability for any Guest who opposes any laws or other regulations of any country visited.

Data Protection

To ensure that retreats run smoothly, Mind ‘N’ Soul Retreat need to use personal information (such as name, address, special needs, health conditions, dietary requirements etc.) provided by Clients to Mind ‘N’ Soul Retreat, and pass on such information to other outfitters/guides or suppliers involved in the operation of the retreat. Mind ‘N’ Soul Retreat will apply appropriate security measures to protect such personal data and will only pass on data that is applicable to outfitters or suppliers responsible for the retreat. By completing the Mind ‘N’ Soul Retreat Booking Form, Clients consent to this information being transferred as required.
